Build an Instagram content calendar you will actually follow
Planning fails when it is a spreadsheet with no logic behind it. Build the logic first, then the grid.

Most content calendars die in week two. Not because creators are lazy, but because the calendar was a grid of dates with no thinking behind it. A calendar is a scheduling layer on top of a strategy. Without the strategy, you are just assigning dates to guesses.
Step one: pick three or four pillars
Pillars are the recurring subjects your page owns. A home cook might run "fifteen minute weeknight meals", "ingredient swaps", "kitchen setup" and "cost per meal". Every post should belong to a pillar, and every pillar should be something you can talk about fifty times without straining.
Step two: give each slot a job
- Reach slot: a Reel built for people who have never seen your page.
- Save slot: a carousel or how-to that is worth keeping.
- Trust slot: proof, results, process, or a client or student story.
- Ask slot: the post where you actually invite people to do something.
Assign jobs before topics. It stops the common failure of a month full of reach content and no post that ever asks for anything.

Step three: lay out thirty days
- Week 1: introduce each pillar with your strongest existing idea in it.
- Week 2: go deeper on the pillar that got the best response, and start a series.
- Week 3: add one contrarian or myth-busting post per pillar for reach.
- Week 4: proof and offer week, then review before the next cycle.
Step four: batch
Script on one day, shoot on one day, edit on another. Context switching is what makes content feel like a full-time job. A single four-hour shoot can usually cover ten to twelve short-form pieces if the scripts are ready before the camera comes out.
| Slot | Job | Format |
|---|---|---|
| Monday | Reach a stranger | Reel |
| Wednesday | Prove you know your craft | Carousel |
| Friday | Build trust and personality | Reel or story set |
| Sunday | Convert attention into action | Carousel or live |
Step five: review with three numbers
- Reach from non-followers: is the top of your funnel working?
- Saves and shares per post: is the content useful enough to pass on?
- Profile visits to follows: does your page convert the attention it earns?
Cut the slot that fails all three for two cycles in a row, and give that space to the pillar that is working. WRKD's content calendar tool builds this grid from your pillars and ideas, so the plan arrives filled in rather than blank.
Frequently asked questions
How often should I post on Instagram?
Consistency beats volume. Three to five posts a week that fit your pillars will outperform daily posting you abandon after two weeks.
How far ahead should a content calendar be planned?
Thirty days of themes and slots, with only the next week fully scripted. That keeps you organised without locking out timely content.
