Running multiple client Instagram accounts without losing the plot
Five accounts is not five times the work. It becomes that only when every account is planned from scratch.

The failure mode of managing several accounts is not missing a post. It is sameness. Five clients start sounding like one person with five logos, because the same brain wrote all of them on the same Tuesday afternoon.
Give every client a voice card
One page per client, open before you write a single line for them. It should take ten seconds to read and it should make it obvious when a sentence does not belong to that brand.
- Two voice adjectives and one sentence of anti-voice: what they must never sound like.
- Ten words they use and five they never use.
- Typical sentence length and whether humour is allowed.
- Who the reader is, in a real, specific description.
- Three examples of past posts that got it right.
One card per account, filled once, used by everyone.
| Field | Example |
|---|---|
| Audience | First time home buyers in Pune, 28 to 38 |
| Tone | Warm, plain language, no jargon |
| Always | Show real projects and real numbers |
| Never | Discount talk, competitor names, emojis in headlines |
Batch by task, not by client
Do all planning for all clients in one block, all scripting in another, all reporting in a third. Switching between tasks costs far more than switching between clients, as long as the voice card is open in front of you when you write.
Build a shared structure library, not a shared idea library
Formats travel across clients safely. Ideas do not. A teardown series, a myth-busting slot, a before-and-after carousel can each work for a dentist, a cafe and a coaching institute. The substance inside them must come from that client's own material, or you have just published the same post three times.
Check 1
Does it sound like this client, not you?
Check 2
Does the first line earn the next three seconds?
Check 3
Is there one clear action at the end?
Quality control in three checks
- Voice check: could this have been posted by another client on your roster? If yes, rewrite it.
- Proof check: is there something specific in it only this client could say?
- Ask check: does the post want the reader to do something, and is that thing clear?
Protect one slot per account for reaction
A fully locked calendar looks professional and performs worse. Keep one open slot per account per week for something timely: a customer question, a local moment, a result worth showing. That slot is where most of the account's best posts will come from.
WRKD keeps each account's context separate, so ideas and scripts arrive in that client's territory instead of a house style. Give it the page and brief once, and the output stays inside that brand's lane.
Frequently asked questions
How many Instagram accounts can one manager realistically handle?
Three to five with full strategy, scripting and reporting. Beyond that you need either a narrower scope per client or someone else handling production.
How do you keep client accounts from sounding the same?
Keep a written voice card per client with banned words, sentence length and two reference brands, and read the last three posts of that account before writing anything new.
